We have incorporated 5 boards on Monday with 400 guests each. The idea is that in each automated time period, each guest and according to previously established typologies (42 typologies) downloads and complies with a responsible declaration model incorporated in a reflected column, but they can see it. This surprises me because in the tests carried out this summer, there were no problems. Has there been any change in functionality?
Uploading files one by one (multiple items cannot be selected)
Failing the first option, it has been proposed to load the file directly into the 4 boards for each of the elements (5 boards x 400 elements = 2,000 elements), but we observe that the files cannot be loaded collectively (filtering by typology), but you have to go one by one. This option has not been accepted by the corresponding Management and at the moment the project is stopped. Is there an option to upload files for several elements at the same time?
It must be taken into account that each guest, due to data confidentiality issues, can only see the element to which they are subscribed.
I need your help so that this impediment is not an excuse for not believing in cultural change.

As for uploading files for multiple elements at once, you are correct that the platform currently limits the ability to upload files in bulk based on typology filters. Unfortunately, as of now, Monday.com doesn’t support uploading multiple files at once for filtered items, and uploading them individually seems to be the only workaround. However, I’d recommend exploring Monday.com’s automation features or potential integrations with other platforms, which might allow for bulk file uploads in the future. It might also be worth revisiting the file upload process to see if there’s a way to streamline it via integrations with third-party tools.

Hi Irene, for the mirror column, a guest won’t be able to see it if they aren’t invited to the original board where the data actually lives. This is like a hidden permission, and is because of data security (basically a user shouldn’t see data that they don’t have access to). If you have Enterprise the workaround should be to invite them to the original data’s board, assign them to the relevant items through a people column, change board permissions to write updates only, create a view, hide the columns that you don’t want them to see, and then lock the view. Limitation with this is that if Members of that Board (that work with you) aren’t Board Owners then they might not be able to navigate off that view. Let me know if the above makes sense and works! It would be a good solution to give the guests access to the dashboard where the data is. The problem is that we have 3,000 guests and each board only accepts 400.
Additionally, each guest can only see the data that meets their condition, so in some cases, in the data dashboard, we should assign more than 300 guests in the person column. It is not operational.
Wow that is a lot, assuming they are mostly from all different companies, so you can’t use Teams either to get down to 400 per board. First thought was that you would need a portal app, though I don’t think its necessary to make it that complicated. Take a look at Smart Mirror Column as it says it can cast from Mirror to a standard column (found my typing mirror in the monday app marketplace - there may be a more suitable/cheaper app that does the same thing).
@Molina could you look at external app “Same item multiplue boards” to help as a workaround to the central data… One central board and duplicate it across lots of boards to allow 400 per board? The comments / status / columns mapped all sync perfectly.
