Seeking Guidance: Implementing Advanced Form Features in Monday.com (item list with data validation)

I’m reaching out for some advice and guidance regarding a project management challenge we’re facing at LEH Construction, and I believe some of you might have valuable insights to offer.

Here’s the scenario: We’re utilizing Monday.com for our project management needs, and one of our key use cases involves having our on-site employees fill out a form. This form needs to be converted into an item on a board with subitems, reflecting the requested items along with their respective details such as price, quantity, and subtotal.

However, we’re encountering a hurdle. As it stands, it seems that Monday.com doesn’t readily support the functionality we require. Specifically, we need the form to feature an expandable list that enables item selection from a predetermined list, along with dynamic updating of price and subtotal fields.

Here’s what we envision for the form:

  1. Form Fields: The form should include fields for the project number, requested delivery date (with a minimum 48-hour advance notice), and employee name.
  2. Product Selection Table: At the bottom of the form, there should be a table where employees can enter product names. As they type, the form should provide suggestions from a predefined list of available products. Upon selecting a product, the price field should auto-populate, allowing the employee to confirm the quantity and automatically updating the subtotal.
  3. Dynamic Item Addition: Employees should be able to add multiple items as long as they’re available in the predefined list.
  4. Total Calculation: A total field should display the sum of all subtotals at the bottom right of the table.
  5. Additional Comments Box: Below the table, there should be a space for any additional comments.

Once the form is completed, the information should seamlessly transfer to our Order board in Monday.com. The item name would be the generated order number, with each selected item from the form becoming a subitem.

Now, my question to the community is this: Is this level of functionality achievable within Monday.com? And if so, where should I begin?

We’d recommend a connected boards approach, but would mean you need additional form capability like Superforms in the app Marketplace.
