Send Update via email address in an automation

I have a board that I want to restrict users to, so they will submit new items through a form. After the form submission they need to follow-up later with a link to a presentation they need to complete. I would like them to do that with the Update via email option where they can send the link to the presentation and it will be captured in the board via an update. I don’t want to have to manually send the Update via email address to the submitter. I’d like to use an email automation upon item creation to send them an email and include the Update via email address in the body of the message. I don’t see that field available - wanted to see if anyone has done this or is this in the pipeline for a new feature?

Hello @mscott This isn’t possible today. The Update via email address can’t be used as a dynamic field in automations, so it can’t be automatically sent in an email after a form submission. It has to be shared manually, and this is a known feature request.

You can still send an automated email on item creation using standard item fields, just not the update-by-email address itself. If you need two-way email follow-ups that log to the item, the Emails & Activities app may be a better fit for this workflow.

Just to make sure I’m understanding the workflow you’re aiming for — after the initial form submission creates the item, are you looking for the submitter to:

• add new information later as an item update (for example, replying via Update-via-Email or posting in the Updates section), or
edit their original form responses to add the presentation link into a field on the item?

The distinction matters because forms can only create or edit item fields, while updates live separately and can’t be added through a form. Once I know which experience you want for the user, I can confirm what’s supported and suggest the best setup.

You can give the user the form, and once they submit it, an item will be automatically created in your board.

Using Make.com, you can set up an automation to immediately send an email to the user asking them to share their presentation. Make can then watch for their email reply, and based on the sender’s email address, it can automatically add the presentation link to the correct Monday.com item.

I’m looking to have the original form submitter do an Update via email where they can include a link to their presentation once it’s completed (your first bullet point). I wanted to provide them the email address through an automation or workflow so there wouldn’t have to be human interaction.

I’ve done this a couple of different ways. The first one that comes to mind is this:

When a new form submission creates an item, someone on the team board copies the “Update by Email” address from the Updates sidebar and pastes it into a text or email column on the item. An automation then sends an email to the submitter asking them to reply to that email address with the presentation link. Their reply gets added back to the item as an update.

My brain is shorting today but if I’m remembering correctly, I’ve also set this up another way where the automated email goes out and when the submitter hits Reply All, their response is automatically captured in the item’s updates.
