Tracking External Emails in Monday.com Using Unique IDs

Is it possible to add a unique ID in an email that is associated with a project so that Monday.com can recognize the email based on this ID?

For example, in Salesforce, we currently use a similar feature. When we send an email (not from within Salesforce) and want it to be tracked and associated with a specific record, we add an email ID at the bottom of the email like this: [ref:a02VY000002DemT]. This ensures that when we check within Salesforce, the email is automatically linked to the correct record.

We would like to use a similar feature for external contractors who may not have access to our Monday.com, so we can track all emails associated with a project.

There is the option to have a BCC set in the Email so it will be tracked:

That is a great idea! However, the issue I have is that we use Zapier a lot to pull data from the board and send emails. I was wondering if there’s something we can pull from the specific column so we don’t have to do it manually.

There are a few ways to do this - none are ideal:

1 way would be to use the Emails and Acivities API (currently in Alpha) to create a custom Email Activity in the record/item if choice. Advantage is you can use Attachments. Disadvantage is the API is still a bit buggy last time I used it and it as the outgoing Email is not actually an Email any replies to it won’t be automatically tracked (unless you also use Zapier for that) and you will also not be able to reply to the email as it is an activity.

Another way would be to use Activity automations to create a custom activity in the record/item of choice. Almost same disadvantages as above + you cannot directly use attachments

It really depends on your use-case but if you‘re going for a CRM type of use case then all outgoing Emails from an inbox will be tracked on the ‚Contact‘ who has the Email address (recipient) in its email column. You will want to associate the Contact with any items (Opportunities for example) to get all the context when responding to a customer.
