Updating column status depending on email address

Hi all,

I’m new to Monday.com and haven’t found a topic based on what I need. I’ve created a board for IT Support (based on the Customer Requests template). I’ve managed to integrate Outlook with the board so that when an e-mail is received, a new item is created. I’ve also managed to extract the email address using Extract AI App.

My issue here is that we service 5 companies within a group of companies. I have created a label column which includes all 5 companies and colour coded them. I wish that if for example a new item is created and it’s from JohnDoe@ the company column is set to Company A and if JaneDoe@ sends en email and a new item is created, the company column is set to Company B.

Is there any way of doing this?

This can be done using Make.com

Trigger whenever an item is created and check that items Column contains JohnDoe@ or JaneDoe@ if it does we can use switch module to select which mail is there and update Company label to Company A or Company B as your requirement

  3. Update Company Label(use switch module to update column value): With the email address extracted, Use the Switch module to determine which company it belongs to (Company A or Company B) and update the Company label accordingly.
  4. Testing and Troubleshooting (Run your scenario for testing): Test the workflow to ensure everything is working as expected. If there are any issues, Troubleshoot them together.

I’ve decided that it’s going to be a nightmare to maintain so many emails. how can I instead look for specific words within the body text (basically each company has a signature with the company name) so if it finds that word, it will go under that label company?

Yes, you can achieve this by setting up automations in Monday.com. Here’s a step-by-step guide:

  1. Identify Company from Email Address: Since you’re already using the Extract AI App to extract the email address, you can create a custom automation to identify the company based on the email address.
  2. Create a Custom Automation: In Monday.com, go to the board you’re working with (IT Support), click on the Automations button, and then select “Create Custom Automation”.
  3. Trigger: Set the trigger to “When an item is created”.
  4. Action: Choose “Set column value” as the action.
  5. Configure Conditions: Set up conditions to check the extracted email address and map it to the corresponding company. For example, if the email address contains “JohnDoe@”, set the company column to “Company A”. Similarly, set conditions for other companies.
  6. Save and Test: Save the automation and test it by creating new items with different email addresses to ensure that the company column is set correctly based on the conditions you’ve defined.

Though I wish to not go down that path. We have over 500 users and the domain name is the same for everyone even though they are 5 different companies. We use the Group Company name as our domain name (not the best decision tbf). So I wish to be able to look for the company name within the email content (signature), and based on that word (company name), it updates the label.
