Allow admins to administer ALL boards

Hey Everyone,

I can see this has been running a while now but I would like to chime in here too.
We are seeing issues where users lose track of boards or want support without us having access.
Which is manageable but annoying. As the super admin I should be able to see all boards somehow no? Well that makes sense to me at least.

This allows admina to view and manage all workspaces, boards, dashboards and workdocs!

For those users that are not currently on an Enterprise plan, we have taken your feedback onboard, and noted your comments for review with our product team :pray:

I Dont think, that this is a good solution. What about all the smaller companies, which are not using enterprise plan? They have to live with the problem?

It would really be nice, if there would be a solution for all users, no matter how much they pay for a plan, when we talk about a core function.

Dear Bianca, dear team,
Whilst having Enterprise Plan ourselves, I have to disagree that me (as an admin) have the capability to manage workspaces, boards, etc. Yes, I can SEE them, but I CANNOT manage them.
I would want to be able to have the same rights as the owners in order to ensure adequate content is being shared, only relevant people have access, etc.
I believe this is not possible via the Content directory… unfortunately… :frowning:

Actually you can have the ability to edit content owners and subscribers (including adding yourself :grinning:) , but you’ll need to opt into this option by contacting your representative or by opening a support ticket.

unfortunately, this is not possible for shareable boards (and private ones). I may understand the reason to keep the private ones private, but why would I not have access to the shareable boards as an administrator? If there is a certain governance that needs to be adhered to and I identify that this is not applied, I should have the ability to make the necessary changes accordingly.
Still don’t understand why this is so difficult to implement.

What I mentioned above is also true for private and shareable boards.
If you open a request you will be granted an option, as an admin, to edit content owners and subscribers from the content directory for all board types- main, private and shareable.

That’s indeed very interesting, because our account manager stated that "Admins can access all boards and workspaces that have under the Content directory. Note, however that even if you’re an admin, you wouldn’t be able to have access to private or shareable boards that you’re not part of. ".

@AdielIsrael and @Udi, may I kindly ask you to align and to see what options we actually have for our Enterprise Plan?

That’s not really true though. Admins can see all workspaces and objects in a workspace, but if they are set to private we can’t actually get into the object to view / edit content or assign owners. This is potentially a huge issue with both operational and data governanc and one we have been pushing for a while now.

No, it isn’t. I know this for a fact because I am the original admin for our enterprise plan and I cannot access any boards marked private. It is very worrying that the people on here that are supposed to be providing expert support and advice are so misinformed on basic governance like this.

You are correct that by default admins do not have this capability.
However, as I mentioned above, it is possible to add this option for accounts per request. This is due to legal considerations.
If you open a request you will be granted an option, as an admin, to edit content owners and subscribers from the content directory for all board types- main, private and shareable.
I would like to assure you that this is 100% accurate.

Yes this seems like a no brainer. Please at the very least create the option to automatically set the admin as board owner when a board has no owners left, and when an owners account has been removed from the company account.

If an employee leaves a company or makes a mistake by leaving a private board the admin should be able to take over the ownership of the board, this prevents clutter and creates a failsafe to losing important data…

please put this on the roadmap or crate a new kind of admin that can at least see the board name and creator we can’t go on without knowing what’s is created and by Whom.

can you please revise the decision and put this on the Roadmap? this function is necessary for admin to at least be able to see the Board created in the workspace even if it’s without the capacity to change anything , i Know you have this option in the Entreprise Plan , but we need it as well in the Other plans.

Chiming in on agreement of this being an issue.

What seems the simplest option is another higher level ‘System Admin’ level of Admin function.
We utilise a dedicated, highly controlled system admin account set up for this purpose to manage all Integrations both using (a third party add on doing highly custom data automations) and internal automations. This account allows us the best control and security practice, HOWEVER limitations in require us to have this user manually subscribed to every single board we use (lucky 20-40 boards) and when we had an account issue and had to restore ALL access again it was terribly manual and caused all integrations to fail.

Very strange this is not standard feature, vote for getting it added.

@Brett.Costello : The true issue here is that private boards cannot be seen by any user other than the one who created them. So the suggestion of adding a (self-created) ‘system user’ will not work, unless every single person in the organisation adds this system user to their own private boards (which they wont obsiously).

Hi Everyone, Thanks for sharing your feedback. I met with the responsible product team and confirmed that these capabilities are available for enterprise accounts. To clarify:

  1. Admin awareness of shareable boards is indeed supported for enterprise accounts (admins can see such boards exist, but cannot access them if not invited)

  2. Admin board control capabilities without being board owners can be done for enterprise accounts, by contacting your representative. Due to legal and privacy policies this capability is only available when quested.

There are various factors and trade-offs that need to be taken when prioritizing permissions and every couple of months, our product team reviews our pricing policy, and user capabilities.
