Automation built to duplicate subitems then update them

Description

I have subitems built under items for checklists. When I move the item to a board I want automation to duplicate the subitems under the item “with updates” and then I want it to change a column for the subitem (i.e. Year), then I want it to make the status for these new duplicated items to be blank or cleared, and finally I want the word (copy) which was added as part of the duplication to be replaced with nothing or simply deleted.

What are you trying to achieve

I onboard each client (aka item) and it used to take me 15-60 minutes with a checklist, I then built the checklist through subitems instead. So last year, automation created the Smart Template and downloaded the entire checklist for me to start from, but now I have a year’s worth of checklist in there, and I just need to do the same items for each client. I’m manually duplicating, changing the year column, wiping out the status column, and Searching and Replacing to delete the space (copy) and that takes about 5 minutes. I’m in our busy season where I have 100 of thee to do so I could save 8 hours of work by automating that.

With Mirror Item, you can -

  • Share the same item along with subitems on unlimited boards
  • Updates(comments + replies) of the items/subitems are also copied and new updates automatically sync on linked items
  • Get a complete overview of where the item/subitem exists with a Sync Table
  • Set up automations like → when item is move, mirror item to Target Board

this does not work as you do not have the option to have it say "when item moves to this group, then duplicate all subitems with updates for this column status “status being 2025” which I then would make it be 2026 and find and replace (copy) for blank. This is what I’m doing now manually and I have about 100 clients to do this on just between October - December. Then I’ll have 200 clients to do this on January - September.

this won’t work as I have 2 boards “District Accounts” and “To Do”. When it is time to work on a client for their annual meeting the client which is the “item” gets moved from District Accounts to To Do. On To Do, the subitems from 2024 need to get duplicated, cleared, and renamed (but intact with all updates) to 2025. Then 2025 to 2026 and so on. When we are done working on the checklists which are the “subitems” for the client, it gets moved back to District Accounts.

I don’t want to have a board with 2024 then one for 2025 then one for 2026 that would be a headache to have different versions of the client. As it is now, the item is the client the subitem are the yearly tasks needing to be done.

What you’re describing sounds like a perfect use case for custom automations combined with subitem recipes. You can:

  1. Use “When item is moved to board → duplicate subitems” automation.

  2. Add a column change action for your Year column.

  3. Use status change automation to clear the new subitems’ status.

  4. Finally, a text replacement automation can remove “(copy)” from item names.

Setting these up together should save you those hours every week! :rocket:
