Create new item in another board and include sub items

I’m hoping someone can help me?

My issue is that I have 1x board that I use for managing projects, this includes costs and creates our resource calendar based by pulling information from the subitem tasks. This works perfectly for internal resourcing, the issue I now have is I use external resource that cannot see costs. I’ve tried hiding these columns and works but don’t really want our external teams to see the other projects and risk them accidentally editing something they shouldn’t.

I am trying to create a new idem in another board and this works but doesn’t seem to create the subitems so they can view their resource. Is this possible or is there another suggestion so they can view work assigned to them?

I believe there is a way to do this with automation but in the end I only wanted 1 board for all my projects. therefore to minimise access I did the following:

  • Put all my team in a team group
  • and all vendors in another group
  • gave my team access to anything confidential so my vendors couldn’t see costs etc.
  • The files cant change permissions so rather than adding documents to Monday.com i added a link to mircrosoft one drive where only my team can access.
  • Finanlly so no one changes any formulas by accident I change the board permissions to for following:
