Email Integration Disappears When Creating Board from Template

Hi everyone,

I’m experiencing an issue where email integrations don’t transfer properly when creating a board from a template in Monday.com.

We considered dedicating a service account to own these integrations so they remain functional regardless of who creates the board.
However, when projects are added manually to the portfolio. So when new project boards are created from the template, only the board owner automatically becomes the creator.
This means that the email integration, which is configured under the service account in the template, gets lost because the integration ownership doesn’t transfer to the new board’s owner.

p.s. Automatically creating boards from templates is not an option in this specific case.

Looking for Advice On:

  • Maintaining the service account as the integration owner on new boards.
  • Workarounds to prevent losing integrations when using templates.
  • Any best practices for handling email integrations in Portfolio boards.

This is a common challenge in Monday.com when using templates with integrations tied to a specific user or service account. Since automatic board creation isn’t an option, here are a few workarounds to keep the email integrations intact:

Ensure the service account remains an admin and manually reassign integration ownership post-creation. While not ideal, it ensures consistency.

Use an external automation tool like Make.com or Zapier to detect new boards and reapply email integrations using API calls. This way, integrations are reconfigured automatically.

If Monday.com allows, create a centralized set of integration recipes that can be quickly reapplied to new boards with minimal setup.
