How to track mail HISTORY of new contacts in monday CRM?

Hey there,

we just started implementing monday CRM into our company and would like to crawl & add all the mails we shared so far with our contacts.

Generally, the mail synchronization works fine BUT it just starts with the moment the contact has been added to our CRM database.

Question:

As this is possible in Pipedrive & Co. as well, how do we synchronize mails shared with a contact from BEFORE the person was added to monday CRM?

There’s no native way to do that unfortunately. When I moved our team to CRM earlier this year, for our main customers, I printed to pdf certain email chains and attached them as files.

You might also look at systems such as make.com to see if it’s available there?

Hello, I know this is an old thread, but…

If you have our Microsoft 365 SharePoint • Automate & Embed app, you can achieve this.

Here’s a video of how it works:

In the example, we’re running this on a button click, but a status change or something else would be a suitable trigger for the workflow.

hi @Rego91 ! Right now, monday CRM only syncs emails starting from the moment a contact is created. Anything sent or received before that is not imported, and unfortunately there is no native way to backfill historical email conversations. Other CRMs like Pipedrive support retroactive syncing, but monday does not.

If you need to add past emails to a contact’s timeline, a practical workaround is using Email to Tasks for monday.com. It allows you to:

  • forward or BCC any older email or entire thread into Monday
  • attach it directly to the correct contact, deal, or item
  • preserve the original email timestamp
  • include attachments
  • keep the conversation grouped as a single thread
  • avoid Monday auto-logging the same email across every item with a matching address

This essentially gives you the ability to import historical email communication, which Monday CRM does not offer natively.
