Restricting Views and Column Editing for External Users

I’m working for a company focused on events. We’re considering switching from Smartsheet to Monday, but we’re struggling to organize our board so that specific people can only view and edit the columns relevant to them.

Our workflow is essentially: Production department → Art Department → Production Department → Finance Department.
We collaborate with multiple producers and designers, and we’d like to give each of them access only to their relevant view, with the ability to edit certain columns.

I’ve explored board permissions, but I can’t find a way to hide views for specific users or allow editing of certain columns when sharing a view. Instead, it always displays the message: “You can only view this board.”

Unfortunately, views don’t have their own ‘view permissions’ yet. What I’ve done for those that need view permissions like that previously is use different boards for teams. ie it would start in a Production board, a trigger would then create the item on a different board and then connect them (using mirror columns). That way as status changes on one board, it also changes on another.

You could work with column permissions (three dots on the column name and then Settings and View/Edit Permissions) and exclude some columns for some users. (works only if the data is not relevant for their step in the process)

You can also use the setup suggested by Desiree above - is a great workaround.

And my last suggestion: Look into the app “SuperForm” - this enables you to update given values with a form so you could create forms based on input needed.

But mirror columns require manually selecting the corresponding item in the other board, correct? The board we’ll be using could have up to 4,000 items, so linking each one manually would be extremely inefficient and time-consuming. Or is there a way to automate this that I might be missing?

There are automations. Either in the automations center or in the workflow center. You’d use the ‘create and connect’ options
