Setup simple email feedback loop with externals

Hello everyone,

I’m trying to build a simple board for my company to manage creative requests. I already set up the board and a form with all necessary fields. Works well.

I am however having trouble setting up a simple and fool proof feedback loop process. I would like for Monday to send out a mail with a link to the requested file to the requester (which needs to input his mail in the form) once the status is set to “Feedback” or “Done”. Furthermore I want the request, who is not a Monday user, to be able to ideally just reply to this mail and have this reply be added to the Update section in the board, so everything is collected in one central place. Is this possible? I would be glad about any help or tips.

Which product do you have? Work Management or CRM?

Hey @dmccarthy22710 thanks for the reply. As I wrote I use Work Management, so this answer was not very helpful. I’m searching for a way to get this to work in the tool I already have. Is this even possible with Monday?

@l.bode Sorry, I’m pretty sure I had planned to add more comments and probably got distracted…

With WM - You can’t track emails & activities but you can still automate emails, ie you could have a column with a status of ‘ready to send to client’ and then use this automation to send them a file. When they receive the email, they can just reply and that update would go to the updates section. There’s no automation that I know of at that point, so you’d need people looking at it.

I already set up something similar but didn’t manage to set it up with mail replies being added automatically as updates. That would be ideal - how to go on about this? Can you provide instructions?

At the moment I have my own Outlook account connected, so when I send a mail, that’s the address the other person will be replying to. How to connect that to a specific item? I will have multiple persons replying to multiple items.

At the moment I have a very complex system of 2 boards, 1 only for feedback that also has a form, and mirrored Status that change. It’s very prone to errors and too complex.

Hey, with work management you can try a marketplace app named SuperMail, it’s a native monday app (starts for free) that allows you to automate rich text designed emails with hyperlinks.

All related mails integrated back to monday item view and you can also track emails and embed buttons in the emails body that will change a status on your board.
