Sync Items and Subitems from Multiple Boards to Outlook Calendar

I would like our deadline columns in Monday to sync with an Outlook calendar. So far I have successfully done this with one date column from one board, but I have dozens more boards to go. I do not want to add dozens of calendars to Outlook to achieve this. (And this doesn’t help me gain access to the dates hidden in Subitems, because seemingly I cannot sync those with Outlook)

I tried creating a dashboard calendar on Monday, which pulls in the correct items and subitems from multiple boards. This looks great, and is exactly the functionality I want in Outlook. However, I can’t figure out how to create a sync URL between a dashboard and an Outlook calendar.

I have several questions from this process:

  1. Does anyone know of a way to create a calendar sync URL between a dashboard and an Outlook calendar?
  2. Can I sync subitems with an Outlook calendar, or just Items?
  3. Is there a more streamlined way to sync dates from multiple boards with Outlook, or do I need actually import dozens of URLs and calendars to make this work?

I have the same questions - thanks for asking them so succinctly Katrina.
The requirement to sync dates from boards with separate outlook calendars is unworkable for us.

May I ask how you got your subitems to show on calendar view? Monday.com say its not supported?

I am with zzBots! I believe we can help solve your problem. We have both 1-Way and 2-Way syncs for Monday.com and Outlook calendar.

I’m helping roll out Monday. com to an O365 organization, and the currently-available integration recipes really don’t cut it. This organization cannot use any third-party apps or automation platforms. The functionality we need is extremely basic and I cannot fathom that it’s not part of the native integration.

Are we missing something?!

Hi @Rach12 , sorry for the late response. With our platform you should be able to sync your Monday.com board to as many outlook calendars as you like as long as your billing plan has enough bots. When installing this Bot Pack to sync your Monday.com items with separate calendars you will need to specify a Multi Sync Key to allow our system to sync multiple Microsoft Outlook events with the same Monday.com item.

It does take a little customizability, so if you need help setting up just chat with us on our website.

One thing I forgot to mention is Subitems will require more bots to sync because Monday.com treats subitems as if they are on a separate board.

Since the Outlook calendar synchronization on the sub-item level doesn’t work, I have created a feature request:

We developed an app called Outlook Calendar Integration Plus that provides a robust Outlook calendar and monday.com integration which also supports syncing with subitems.

Here’s an example - In the “person column”, you just need to select a person column from the subitems. When the subitem will be assigned, the event will be created.

Here are the key differences from monday’s native solution -

  1. Allows to select which calendar to use (not just the primary default)

  2. Supports subitems

  3. Much more flexible triggers - “no more sync every item”

  4. Allows full mapping - updates, invitees and more

  5. Allows to control the start & end date and time.

Thank you for the follow-up. Sounds like you’ve created a good filler for this big functionality gap. However, the org I’m helping with Monday adoption has HIPAA compliance requirements (as well as budgetary limitations) so using a third-party app is not feasible.
