What should I do with ‘done’ tasks? Initially, I planned to create an automation to move them to a done group but then I can’t see what group they came from. I’d like to be able to see completed tasks weekly/monthly filtered by group. I can’t do this if they are moved to done.
I would create a view and group items by status (done, working on it, stuck, etc) and when using dashboards, or viewing the original/main table, the items will still be on their original group. You would have to filter by status on the dashboard.
Just mark items as Done using the status column and leave them in their original group.
Then create different board views:
One that filters out Done items (for active work)
One that shows everything (for reporting)
Because you’re not moving tasks, they stay linked to their original groups — super helpful for weekly or monthly tracking.
Option 2: Add an “Archive Date” Column
Add a Date column called “Completed On” and use an automation to fill it when the status changes to Done.
Now you can filter views by completion date without needing to move anything around — perfect for clean historical tracking.
Option 3: Subitems for Progress
Use subitems for individual steps and keep the parent item open until everything is done.
Mark subitems as Done, and once they’re all complete, you can close the parent. Keeps the group structure intact and gives detailed progress tracking.
Option 4: Use a Labels Column to Track Original Group
If you really want to move items to a central “Done” group, add a Labels column that stores the item’s original group.
Set that label manually or with an automation when the item is created. Then when you move the item, you still know where it came from — and you can filter or sort based on that.
My least favorite option but still doable: Duplicate Instead of Move
Another trick is to use an automation that duplicates Done items into a “Completed This Week/Month” group instead of moving them.
That way the original stays in place for group-level reporting, and the duplicate gives you a clean archive to review.
