Use Forms to edit/update existing items and columns

I agree that this would be very helpful. Having the ability to create a form that would be sent to a person after a status changes and prompt that person to fill out certain columns would allow me to automate the whole updating process of line items. This is something that smartsheet does really well, that I think would help Monday keep up with the competition.

how a form to edit a existing item be shared could be shared with the people who need to edit them? assuming we are using android App-

Hi Hernan,

The SuperForm can be used to Insert or Update an existing record.

You just need to select the Form Type to be updated. You can secure the update form link with a password

Hi. Nice App.
I cannot figure on how to filter specific items names to be updated …
tried using view filters but it keep me showing ALL items from entire board…
this is a problem when you have more than 1000 items.

Hi Hernan,

There are 2 forms types: INSERT or UPDATE

If you select the UPDATE type. then once you click on the form link (which can be protected by a password) the items’ names will be placed as a dropdown. It is searchable with typing.

Hi @guy.gavish , but depending on the use case, maybe in our case the field technician only need to view a certain group of items wich are in process (not all), and there is no need to search over 1000 items by example. Maybe there is a group named ā€œTODAY ACTIVITIESā€ and having the feature to filter this only items to be updated could be a extra

I want to be able to automate a form being sent to people requesting updates to particular fields and when the form is submitted, the updates entered into the form will update the specified fields in the item I want updated.

These are people who otherwise don’t need to access monday.com and might otherwise be confused about how to do this if forced to login and see everything in monday.com

Has this been released? This is something we desperately need.

In case you would like to update existing items using the monday.com forms or any other entry, you can check out the Duplicates and Uniques app. Whenever a new item is added to the board, the app will automatically update the existing item with the new data. Here is a demo on how that works.

I’m curious how things stand on this request. I see that you mentioned it was planned for version 2 release sometime around August. The two links you included won’t load for me, but looking through the 2022 Release Notes the only updates to the form function I can find are mobile support, signature support, and a few other items. I can’t find anything about using forms to view or update existing items.

My goal in looking for this function is to support the following workflow automations:

  1. Internal staff enter some basic information to open a ticket.
  2. A form is automatically sent to the external contact involved requesting additional information.
    ^ This is the place in the flow where not being able to update an existing item through form entry causes trouble. I want to avoid accidental item duplication as much as possible, but at the same time cutting out manual entry for staff members is also the main goal of using Monday.com.

We would be fine using automations to accomplish this, but at the moment it doesn’t look like there’s an option to automate: On Item creation → search Column X on Board Y for items that match New Item’s Value Z. If found, merge / update Items.

Let me know if I’m missing a way of setting this up and thank you for your assistance!

Following this because we have a similar requirement. We have an item on the board that has been auto-filled via API. We do not want any of this information edited and want to use a form to allow employees to Update columns within the main board.

The same situation with us we do not want accidental duplicates as it will create accounting problems.

Please, we need to be able to use a form to update data as well, just to simplify the screens that users edit and make sure they don’t mess things up. I also hate that all the good functionality of Monday.com is in one app or another. It is such a hard sell asking the boss for money to make Monday do things which they think it should already do. The conversation usually results in my looking at the costs of competing platforms.

Yup, same problem here. 350 enterprise license. Can’t update a form without buying additional super form app… The development within workforms is crazy simple. The only reason I can see for not doing this is not to invalidate the superform app.

Wondering if anything ever happened with this request? 120 votes not… really hoping it’s close to a release date! I’m looking at SuperForms but it’s an extra $50/month to do what I want… would rather use Monday.com functionality directly if at all possible!

Thank you for staying on top of this.

I need:

  1. Ability to map form questions to specific columns to avoid bloat and redundancy and easy of analysis and reporting (and automation, etc).
  2. Ability for submitters to edit their submissions.

It feels so natural that this be a part of the forms, so adding a third party app feels redundant.
